Lesson 2 of 2 · about 5 minutes

Locate a form, grievance process, or records contact

I already know this — skip it

What is it?

Agencies use different forms and procedures for requests or complaints.

Why would I need this?

Using the wrong process can leave a question unanswered.

Show me.

  1. State the question without adding unnecessary personal details.
  2. Find the agency’s official instructions for that specific type of request.
  3. Identify the form, destination, and stated timing requirements.
  4. Ask qualified help about legal deadlines or consequences. Keep a copy of what you send privately.

Try it.

Write a fictional question: Which office handles a request for a copy of this policy?

Watch out for this.

Do not rely on a general lesson for deadlines, appeals, or legal advice. Requirements vary.

Explain this another way

First find the right process; then check exactly what it asks for.

Show me an example

A public-records request and a grievance may be different processes at the same agency.

What does that word mean?

Policy: An organization’s written directions for handling a subject. Check the current version and what it applies to.

Grievance: A formal way of raising a complaint under a particular process. Procedures and deadlines vary.
